The School of Biosciences approached us to offer a solution to their annual Offer Day within the current restrictions of a UK lockdown. The keywords discussed at our discovery session were innovative and inclusive. They needed a solution which allowed access from a variety of devices and a platform for the academics and recruitment officers to introduce all the university had to offer. Given the competitive nature of Biosciences courses worldwide, Cardiff University wanted a professional solution that stood out from a sea of standard webinars.

We quickly worked to produce a series of graphics and videos utilising the wealth of previously made content the University had access to, as well as complementing their brand guidelines; ensuring a consistent design. Mixing live talks with pre recorded material is a great way to elevate your content and keep the audiences’ attention. Think of it in terms of a traditional broadcast, you wouldn’t expect a prime time audience to sit through several hours of lecturers, you need visual and audio elements to supplement the live content.

As well as utilising videos the School had previously commissioned we created a custom holding screen with background music. We’ve found these short videos invaluable for engaging audiences before the show begins. In this example, we used quotes the School had previously collected, combined with a stock of images from the previous cohort.

Our two hosts, Andrew and Emma, did a brilliant job of keeping to time and presenting the content in bite sized chunks for the students watching. Part of AOTV’s role was to work with these presenters to make sure their home webcam shots looked as good as possible given the circumstances. This included advising on lights and microphones, testing backgrounds and even advising on wardrobe.

A full PowerPoint integration was provided with Emma able to present her slides live. We can easily alter this view live, opting to go fullscreen with slides when necessary or making Emma’s shot bigger if the slides are less important than the speech.

After the livestream we facilitated a Zoom meeting for direct questions to academic leads and recruiters. We really wanted to avoid the usual large Zoom confusion, so opted for preregistration and the breakout function, meaning students and staff were preassigned to a course specific room instantly as they joined.
